Choose a clear opening date
Moving records is easier when everyone agrees when the new system becomes the working record. Choose a cutover date and name the person responsible for opening stock, balances and product details. Keep a readable copy of the old records so staff can investigate a difference without changing the original.
Clean the product list first
Look for duplicate names, inconsistent units and items no longer sold. Decide how staff will distinguish similar sizes or packs. Record purchase and selling information in separate fields. Ask your accountant to confirm tax classifications and invoice requirements for your business; this checklist does not determine tax treatment.
Reconcile opening stock
Count a manageable section and compare it with the records before importing everything. Agree how damaged stock, returns and goods in transit are handled. Keep the approved opening list with its date. If the numbers differ later, this gives the team a starting point for investigation.
Check customer and supplier balances
Review outstanding amounts with the person who maintains the accounts. Separate an unpaid invoice from an advance or a credit adjustment. Import a small sample, enter a partial payment and compare the statement with the old ledger. Do not assume a successful file upload means the balances are correct.
Rehearse an ordinary trading day
Run sample purchases, cash sales, credit sales, returns and expenses with non-live data. Close the day and compare totals with a manual record. Confirm who can correct errors and whether the system retains the original transaction history. Train the person who covers the counter when the usual operator is absent.
Keep a handover checklist
Agree who checks the first daily close, maintains backups and contacts support. Share a cleaned sample product list and the reports you currently use with EXA. That lets us discuss migration effort and demonstrate the relevant workflows before you commit to a change.
